We are seeking an organized and detail-oriented Administrative Assistant to join our dynamic team at Mercodia. The ideal candidate will have a passion for biotech and strong administrative skills to support our fast-paced and growing organization. As an Administrative Assistant, you will be responsible for providing administrative support to various departments and assisting in the smooth operation of our office.

Key Responsibilities:

• Provide general administrative support to various departments, including scheduling appointments, organizing meetings, and managing calendars.

• Answer phone calls, respond to emails, and handle incoming and outgoing mail.

• Maintain and update company databases, records, and files.

• Assist in the preparation of reports, presentations, and other business documents.

• Coordinate travel and accommodation arrangements for staff and visitors.

• Order and maintain office supplies, ensuring that inventory levels are always sufficient.

• Assist with the organization of company events and meetings.

• Assist in the recruitment process by scheduling interviews and coordinating candidate travel arrangements.

• Liaise with external vendors and service providers as needed.

Qualifications:

• High school diploma or equivalent, post-secondary education in business administration or a related field is preferred.

• 2-3 years of administrative experience, preferably in a biotech or scientific environment.

• Proficiency in Microsoft Office suite.

• Excellent written and verbal communication skills.

• Strong organizational and time management skills with the ability to prioritize and multitask effectively.

• Ability to work independently and as part of a team.

• Attention to detail and accuracy.

• Professional demeanor and a positive attitude.

Working Conditions:

This is a full-time position with standard office hours, Monday-Friday. The office environment is fast-paced and dynamic, with opportunities for growth and advancement. The successful candidate will report to the Office Manager and work closely with all departments within the organization.
